Some people write very poor letters
Some of the letters which is written even by business people are very poor efforts and are little or in some cases no better than those written by high school student. To be truthful there are school students who can do significantly better than some of the business people who has been in business for a decade or more. It is surprising to find this among people who are often very successful in their particular field of business and many of them is running very profitable businesses but when it comes to communicating in written form they are extraordinary illiterate at least as far as letter writing is concerned. The problem is many of this people are judged by their written skills and not so much by their experience in business. It seems as the more Internet and social media is permeating our lives the fewer people can be found who are still competent when it comes to letter writing and nowhere is this more evident than when it comes to formal writing. Even though some of these things is very much a part of the curriculum in most schools it seems that very little of those educational efforts has been successful and therefore those skills are soon forgotten.
Written communications may be part of your duties
Many people in managerial positions or someone in leadership within a Corporation is often in the fortunate position to have a secretary or an assistant to help them when it comes to letter writing but for those who do not have those perks in their position will have to find a way to cope on their own. There is a lot of people that would do their written correspondence without paying the slightest attention to some of the rules which apply to letter writing. For them as long as a secretary can do all the necessary editing they really cannot care less but such an approach could potentially backfire. When you blatantly ignore formal rules as they apply to letter writing this is actually indicating a disrespect for those people who is going to receive your letters and frankly the result might be that you do not communicate your service or product correctly which could harm your business. Everyone receiving one of your letters could easily come under the impression that they are not important enough for you and this is why you sent them a letter of such a low standard.
Formal letters has a specific structure
Some rules or combination of roles may seem illogical to the uninformed person but in reality when they are used correctly they will ensure that there is clarity in those written communications. What many people don’t realize is that when a letter has been written according to applicable rules then this makes it easier for the reader to understand what is being communicated and they will know exactly what they need to do and what action needs to be taken and there will be no doubt in their minds as to who the sender is. All of this is possible when a letter is send according to applicable rules. There is a reason why everything has to be done according to a specific format whether it be a webpage or an email, those rules ensure that there is no misunderstanding in that communication process. The actual outline of a formal letter
One of the most important things will be to ensure that a return address and also the date is included in that formal letter and it is a preferable that this will appear in the upper right hand corner. This is simply the place where most people expect to see a return address and the date and therefore it is simply better to keep by those rules. On the left hand side one line below the return address is the place where the mailing address of the recipient should appear. Many communications is often widely circulated through an office or Corporation and when this simple rule is followed it can always be returned to the rightful owner. Now leave two lines open and then proceed with your salutation to the recipient. This should be a specific title and the letter should be addressed to a specific person and not merely to dear Sir or Mdm. and so forth. Not doing so indicates that it doesn’t matter who will actually receive that letter or it may also signify that you were not interested enough to make inquiries as to the identity of the person. The letter may even fail to reach the legitimate recipient. Only then should you proceed to the body of the letter followed by the other necessary steps.
